Specifications include, but are not limited to: 1. Vendor must be NAID Certified Shredding and Proof of Certification must be provided upon submitting the bid pricing proposal. 2. Shredding company must be able to pick up the shred bins of confidential tax documents 16 times per year: One pickup each month of the year and one additional pickup per month during February - May. 3. Shredding bins are to be loaded/unloaded at the loading dock of the 205 W Saint Clair building. A CCA staff member will accompany the Vendor’s staff member to provide access to CCA’s secured areas. The Vendor’s staff member will pick up shredding bins from various locations on the 1st, 2nd and 3rd floors. The Vendor’s staff will place an empty shredding bin and pick up bin in the same specified location. Vendor’s staff member must combine partially full bins to create a full bin. Only full bins will be billed. 4. Documents will be shredded on-site or transported in a secure vehicles and stored at vendor’s secure facilities prior to destruction. All work must be completed in a secure area under Vendor’s management direct supervision to ensure that no information is copied or otherwise made available to unauthorized personnel. A non-disclosure agreement certifying that all information will remain strictly confidential throughout the process is required. 5. All the Vendors’ personnel involved in the shredding process shall be bonded. Vendor shall guarantee protection from misuse of documents designated for destruction and shall be liable for disclosure of confidential information contained in the documents to other parties. Vendor shall maintain a complete confidential destruction process. Vendor shall provide a Proof of Service Certificate after every material pick up that all material has been destroyed and recycled and not sold to outside parties. 6. The bid/quote amount per unit shall include all costs including labor, fuel, pickup, etc., associated with removal and shredding of the documents. 7. The bid/quote shall detail the size and type of container, preferably, “96-gallon secure shredding bins”. The estimated number of 96-gallon shredding bins per pickup is 12. No minimum or maximum is guaranteed or implied. The vendors’ billing invoices must state the actual number of serviced full 96-gallon bins.
