Specifications include, but are not limited to: a. Electronic travel approval and expense management with the ability to assign delegates for submitting requests for travel authorization and reimbursement as well as delegates or proxies for approval for all processes b. Ability for traveler, approver, and delegates/proxies to view real-time status of authorization, reimbursement, etc. c. Pre-travel authorization workflow following University and State travel policies d. Automated travel expense reimbursement system including integrated travel booking information and electronic receipts e. One travel authorization number linked to all activity and expenses for the trip f. Ability to track and match prepaid expenses such as registrations, airfare, etc. g. Calculate subsistence (per diem amounts) and mileage reimbursement based on multiple tiers of subsistence rates (based on city, county, state, and country) and current IRS mileage rate, respectively, in effect on the dates of travel h. Ability for administrator to update meal per diem amounts and mileage rates as needed i. Full integration with all Banner modules related to employee, student, and sponsored non-employee travel including, but not limited to, creating encumbrances from pre-travel authorizations, clearing encumbrances with post-travel reimbursement request or report, recording expenses, and processing reimbursements j. Compliance with all ERP upgrades - support from vendor to develop solutions to continue integration with Banner when upgrades occur k. Standard and custom reporting including expense by travel category (e.g., airfare, lodging, meals, car rental, mileage), department, traveler, etc. l. Ability to report on traveler locations, monitor and inform of high-risk travel locations, and provide 24/7 support for travelers worldwide m. Implementation, training, and ongoing support for both travelers and travel administrators n. Ongoing end-to-end support and maintenance for entire solution o. Accommodate reconciliation and approval of all Bank of America p-card transactions (travel and nontravel), as well as travel card and/or ghost card, if either is implemented in the future
