Professional Operator Assignment Provide a trained professional operator for all scheduled events. A calendar of events will be shared with the vendor. Preventative Maintenance Conduct monthly preventative maintenance checks on all mobile units. Monthly Reporting Submit monthly maintenance and usage reports to: UNCP Motor Pool personnel UNCP Nursing Department Lead Oil Changes Complete oil changes every 10,000 miles or every six (6) months, whichever occurs first. Vehicle Inspection & Sanitization Ensure each vehicle is fully sanitized, cleaned, and inspected before each trip. An inspection must be signed by the Lead Maintenance Technician. Logistics Communication Maintain regular communication with the designated UNCP leader regarding logistics and scheduling. Event Supply Management Provide all necessary supplies for each event, including but not limited to: Trash cans and liners Daily cleaning throughout event duration On-Site Maintenance Offer onsite preventative maintenance services as needed. Fuel Provision Ensure all vehicles are fueled as required for operation during events. DOT Compliance Obtain all necessary Department of Transportation (DOT) permits for mobile unit operation. Trip Fees cover all costs and fees incurred during trips (e.g., tolls, parking, etc.). Tow Insurance Maintain Tow insurance coverage for two (2) mobile vehicles. Detailed Event Reports Submit monthly reports that include: Event name and date(s) Vehicle usage details Operator assigned Maintenance performed Operator Lodging & Transport Provide on-location transport and lodging for operators if an event spans multiple days. Platform Setup Provide setup platforms or stationing solutions for mobile units as required. Event Setup Assistance Support UNCP staff in setting up event elements such as banners and tables. Breakdown Support Assist with all set-up and breakdown activities at each event. Audio/Visual Equipment Provide and manage audio/visual and sound systems as necessary. Vehicle Cleaning & Equipment Care Responsible for full cleaning of vehicles post-use and proper handling of equipment during breakdown. * the above tasks are subject to change as per the needs and direction of UNCP.
