Specifications include, but are not limited to: Guilford County is in the process of developing plans to solicit a Contract Execution Software. This Request for Information (RFI) is intended to collect information and recommendations regarding the various contract routing software options currently available on the market, the various application functions, and respective budget ranges for those options/packages. Guilford County currently has Tyler Munis implemented as the official financial ERP system of record. Therefore, all encumbrances and financial implications related to executed contracts will be conducted in Munis. The County desires a Contract Execution Software that allows for the following functionality at a minimum: 1. Access Control – Robust credential security that includes electronic signatures ensuring control of who receives contracts for review or signature and when. 2. Document Draft Versioning – the ability to maintain multiple versions and redlines and the author needs to be easily identified as drafts are under negotiation between both parties. 3. Workflow Transparency and Tracking – the ability to view any contract at any phase of execution, who it is waiting on and for how long. 4. Template Housing – the ability to house pre-approved templates for expedited contract execution. 5. Archiving – the ability to store and retrieve contracts and all subsequent amendments in a clear and easy to understand manner.
