2.1. Overview The Town is procuring a contemporary turn-key commercial-off-the-shelf COTS solution that will serve all agencies in a multi-agency and multi-disciplinary environment. The successful Contractor shall provide the software, hardware, and professional services that the Contractor describes in the RFP. 2.2. Project Management and Schedule The Successful Contractor shall assign a Project Manager (PM) as a primary point of contact with all contracted staff with the necessary qualifications and staffing support to ensure the project tasks' successful performance and that the Project Schedule and Milestones are met. This Project Manager will report to a local Project Manager identified by the Town. The Contractor’s PM will be required to be on-site at a Town location during significant project events, such as the installation of the core system, any optional components purchased, essential milestones, intervals during system testing, and system go-live. All risks will be eliminated, and downtime will be minimized to the planned dates. The responsibilities of the Contractor’s PM shall include managing and timely executing all required tasks and activities based upon an agreed-upon Statement of Work (SOW) and Project Plan/Schedule that will result in the successful completion of the design, integration, testing, cutover, and acceptance of the proposed System and related services as defined in this RFP and resulting Contract. Project Management shall include, but is not limited to: 1. Project Coordination 2. Task Oversight and Milestone Completion 3. Project Meetings (including meeting notes) 4. Schedule Updates 5. Progress Reports
