Due Date
RFP response submissions shall include a two to five-page maximum cover letter with supporting materials. Submissions will be accepted from the date of publication on the Village website and on Bidnet, ending three weeks later at 11 a.m. on Friday, June 27, 2025. It is preferred that the cover letter and supporting materials be e-mailed to the Village at Administrator@tarrytownny.gov.
If mailing is necessary for any larger size hard-copy documents, they should be mailed to: Office of the Village Administrator, 1 Depot Plaza, Tarrytown, NY, 10591. Submissions will be kept strictly confidential until after the submission deadline, at which time they become public documents.
Submission Requirements
A three- to five-page summary cover letter briefly summarizing the following items is required. You may attach additional information as you deem appropriate.
- Team description
- Hourly Rates for team members who will be assigned to the work
- Team experience noting:
- Previous municipal projects and/or contracts
- Project locations, photos, year, team member’s role(s).
- Project references, including governmental bodies involved.
- Key team member resumes are requested.
Selection Criteria
- Interviews
- Experience of the team
- Qualifications
- Knowledge of current standards of mobility management and design, with knowledge of the MUTCD and higher credit given to knowledge and experience of a Complete Streets approach and the application of NACTO standards.
- Cost
- Ability to complete requested plans within an agreed upon deadline, to be negotiated and agreed upon at the time of the assignment of each project.
RFP Time frame, schedule and supplemental material
- RFP responses due date - Friday, June 27, 2025, at 11 a.m.
- Review of Qualifications and Letters of Interest and short list: Estimated first 10 days.
- Schedule and interview: Estimated within 30 days of proposal submission.
The goal is to have a Board decision and award at the Board Meeting in July, 2025 which is currently scheduled for Monday, July 21, 2025. If more time is required it may be awarded at the Board Meeting of August 18, 2025, which will still be within sixty (60) days of the submission deadline.
