Request for Proposal (RFP) Type I Ambulance
Introduction: The Town of Guilderland Emergency Medical Services (EMS) plays a crucial
role in our community. Currently, we own and operate seven ambulances, which our highly trained mechanics meticulously maintain.
As part of our fleet maintenance strategy, we seek to replace an aging unit to minimize downtime.
Guilderland EMS responds to approximately 6,700 advanced life support level calls annually, underscoring the significance
of a reliable fleet to ensure the safety of our residents and personnel.
I. Background: Guilderland EMS invites bids to replace a 2015 Type III ambulance with a
The new Type I ambulance aims to reduce downtime and ensure patient and crew safety.

III. Proposal Guidelines: Interested parties should submit proposals including the following:
Company profile, including experience in emergency vehicle sales.
Comprehensive cost breakdown covering materials, labor, and installation of provided
graphics.
References from similar projects, particularly within the emergency services sector
Certification of Non-Collusion must be attached to each bid.
IV. Submission Instructions:
Proposals must be submitted in duplicate in sealed envelopes marked "NEW Type I Ambulance"
and sent to Lynne Buchanan, Town Clerk, Guilderland Town Hall, PO Box 339, Guilderland, New York 12084.
Specifications and bid forms may be obtained at the TownClerk's Office. Late submissions will not be considered.

The Guilderland Town Board and /or Guilderland EMS reserves the right to reject any or all bids.
Proposals will be received until April 22nd, 2025, at 2:30 pm, at which time the proposals will be
opened and read aloud at the Town Clerk's Office, Town Hall, 5209 Western Turnpike, Guilderland, New
York 12084.
V. Evaluation Criteria: Proposals will be evaluated based on:
Cost-effectiveness and value
Proposed timeline and project management
Quality of materials and equipment
Client references
VI. Selection Process: Following the submission deadline, proposals will be reviewed and
evaluated by a selection committee appointed by Guilderland EMS. Shortlisted candidates may
be invited for interviews or presentations to assess their suitability for the project further. The
Guilderland Town Board and/or the Town of Guilderland EMS reserves the right to accept or reject any proposal.
VII. Confidentiality: All information provided in response to this RFP shall be treated as
confidential by Guilderland EMS and used solely to evaluate proposals.
