This bid is for Document Shredding Services, for the purpose of onsite shredding of confidential records and documents for the County of Franklin. A minimum of 4 times annually will be scheduled by Franklin County for the purpose of purging documents. While Franklin County makes an effort to remove binder clips and other non-paper material from the boxes of documents to be destroyed, the County shall not be responsible for any foreign material that may remain. Documents shall consist of copy paper and file folders. Documents could potentially have paper clips, binder clips, and/or staples. The Franklin County Courthouse address is, 355 West Main Street, Malone, NY 12953. The Courthouse is located on the corner of West Main Street and Brewster Street. It is required that the Vendor provide shredding services at the entrance to the Records Management Center which is located on Brewster Street, at a time that is mutually agreeable to both parties on an as needed basis. The Franklin County Records Management Center will coordinate the schedule based on the amount of documents ready to be purged. All shredding of documents shall be done between the hours of 8 am and 2:30 pm., Monday through Friday. A second location in the county to provide shredding services is Franklin County Social Services, 184 Finney Blvd, Malone NY 12953. This location shall be deemed as separate and independent of the Courthouse location and the box count shall apply to each location individually. Vendor shall provide bonded and uniformed personnel to carry or cart the boxes of documents to the curb and empty the documents from the boxes into the mobile shredder and return all boxes to the County. A certificate of destruction is necessary. Vendor offering on-site shredding of paper documents shall not leave County of Franklin premises until all documents are completely destroyed following all government and HIPAA regulations. Franklin County requires the documents to be shredded into confetti size pieces. This does not apply to any electronic media that needs to be destroyed.
