Task 1: Event Direction • Provide creative direction for the series, establishing a consistent theme and ensuring each event offers accessible, high-quality experiences featuring Broadway performers. • Develop a clear structure for each performance including timing for each segment, order of performers, stage positioning for performers and musicians, elements that enhance audience engagement and setlists that balance classic hits with lesser-known gems, providing a unique experience for each audience. • Act as the primary liaison between the Trust event team and stage and audio vendors. Establish clear expectations regarding the quality and standards required for each performance. • Develop detailed technical specifications for stage design and audio setup, including equipment needs (microphones, speakers, back line, etc.). • Schedule and lead planning meetings with vendors in advance of the Event dates to discuss technical logistics, equipment setup timelines, and any additional technical needs. • Oversee the on-site setup and execution of technical elements during rehearsals and performances. Ensure that all equipment is tested for functionality and sound levels are balanced according to the venue's acoustics. • Quickly address any technical issues that arise during rehearsals or live performances, coordinating with vendors to implement immediate solutions without disrupting the event flow. Task 2: Talent Acquisition and Management • Negotiate, book, manage and compensate high-quality Broadway talent: o Identify a diverse roster of distinguished Broadway artists, ensuring representation from various genres and styles. Create a list of potential headliners for each event, factoring in audience preferences and thematic relevance. o Captivating opening acts or surprise guest appearances that complement the main performance may also be considered, but each event must feature a prominent Broadway artist(s) performing for at least 45 minutes. o Confirm the role of a host for each event, who may either be the Consultant or selected talent. The host should be charismatic and capable of engaging the audience throughout the performance, providing context and anecdotes about the show and performances. o Engage in detailed negotiations regarding performance fees, contract terms, and any additional compensation requirements (e.g., profit share, merchandise opportunities). Aim for agreements that align with both the Trust's values and budget as well as the artist’s expectations. o All Talent selections are subject to prior approval by the Trust. • Coordinate and manage technical requirements for Talent with the Trust event team and stage and sound contractors. • Fulfill contract riders, including arrangements for travel, housing, and on-site hospitality. • Provide marketing materials (bios, head shots, etc.) to the Trust in a timely manner. • Arrange for pre-Event promotional appearances upon request.
