NOTICE IS HEREBY GIVEN, that the County of Ontario (the “County”), will receive sealed bids for HVAC SYSTEM UPGRADE-ONTARIO COUNTY COURTHOUSE (B23055). Such sealed bids must be filed with the Ontario County Purchasing Director, 20 Ontario Street, Canandaigua, New York 14424, PRIOR TO 3:00 PM, MAY 10, 2023 at which time said bids will be publicly opened and read via WebEx.

There will be a prebid meeting held on April 27 2023 at 10:30 AM. Said meeting will be held at the Ontario County Purchasing Department, 20 Ontario Street Second Floor, Canandaigua, New York. All interested parties are strongly urged to attend. This will be the only opportunity to view the site.
Bid forms, Drawings, and Specifications may be obtained at the office of the Ontario County Purchasing Director at the above mentioned address only (Telephone: (585) 396-4442) for a refundable deposit of $100.00 for the first set only (U.S. FUNDS). An electronic version will be available for a refundable deposit of $50 for the first set only (U.S. FUNDS). Bidders requesting additional sets of documents must submit a separate non-refundable check for $100.00 per each additional set of documents. Checks shall be made payable to the Ontario County Treasurer. No bidder shall receive documents prior to receipt of a deposit by Purchasing Department. Bidders requesting arrangements other than U.S. Mail shall be responsible for making such arrangements and all associated costs. Deposits must be a check or cash, no credit cards are accepted or copies of checks.
Each bid shall include a bid bond in the amount of 5% of the total bid offered by the vendor. Said bid bond shall be in the form of a certified check, bond or irrevocable line of credit and is required to be included with the bid submittal.
NOTE: The County shall not be held responsible for the completeness or accuracy of any bid documents received by a vendor that were not directly issued to that vendor by the County Purchasing Department. Any vendor submitting a bid based on incomplete or inaccurate information resulting from documentation received from any third party, shall not have cause for relief from award or completion of a contract in accordance with the official documents on file with the County Purchasing Department.
It is HIGHLY suggested that all vendors interested in participating in this bid, contact the County Purchasing Department directly at the above address or telephone number to assure they have received the most accurate and up to date material concerning this contract.
The County does not offer or supply anyone the list of people that have obtained a copy of these bid specifications or cost estimates for the project prior to the opening of the bid. NO EXCEPTIONS ARE MADE TO THIS POLICY.
The County reserves the right to reject any or all bids.

Project Scope
1. Phase 1:
a. Clean existing hot water heating system per Section 232500.
b. Provide the complete removal of existing boilers and pumps. Provide the complete
installation of new boilers, pumps, and associated controls.
2. Phase 2:
a. Provide the complete removal of existing energy recovery modules, heating coils, and
motors on existing air-handling units.
b. Clean the existing air-handling units, cooling coils, and existing ductwork per Section
230130.51.
c. Provide the complete installation of new energy recovery modules, heating coils,
motors, VFD's, and associated controls on existing air-handling units.
d. Work shall be performed on one air-handling unit at a time. The air-handling unit shall
be tested and fully operational before moving on to the next unit.
3. Phase 3: Provide hydronic and airflow balancing. Balancing to take place between the
hours of 5:00 pm and 9:00 am unless authorized by Owner.
4. The following Add Alternates may be performed simultaneously with Phases 1 and 2:
a. Add Alternate No. 1: Provide the complete removal of selected fan-coil units. Provide
the complete installation of selected fan-coil units and associated controls.
Hydronically balance after each installation.
b. Add Alternate No. 2: Provide the complete installation of the ductless split- system
(VRF-1 and HP-1).
c. Add Alternate No. 3: Provide the complete installation of the air curtain (EAC-1).
