RFP-344 - DIGITAL PRINTING AND COPYING PROGRAM

The City of Yonkers (the “City”), a municipal corporation organized and existing under the laws of the State of New York is informing the vendor community of a potential business opportunity to lease and service (both preventative and remedial), new digital printing and copying equipment to meet the current and future operating needs of the City’s print shop (the “Print Shop”), as well as implement the transition from our existing equipment, including training, (as more fully set forth below).  In addition, the successful proposer will be expected to provide all consumables, such as staples, toner, etc., excluding paper.  Through this Request for Proposal (“RFP”) process, we are requesting qualified vendors to submit technical and cost proposals to enter into a lease agreement with the City for a term of five (5) years (sixty (60) months) for digital printing and copying equipment and services (the “Lease”).  The City will not accept an option to purchase. Accordingly, the successful proposer must agree to remove its equipment at the end of the agreement’s term at no cost to the City.
 
It should be noted that the City has an existing lease that ends December 12, 2017. The successful proposer must be able to secure termination of the City’s existing lease agreement in order for the City to sign a new lease agreement.  The existing lease agreement will be provided upon request. 

The Contractor shall be responsible for providing ALL phases of services.  This shall include providing new digital network ready copier and printer machines and accessories that have the ability to copy/print/scan, providing prompt maintenance (both preventative and remedial), providing all consumables including staples, providing delivery and set-up services, providing copier volume usage and service maintenance reports and providing both initial and continuous operator training.  The costs for the foregoing services shall be included in the Cost Proposal of the RFP.
