The primary role of the contractor will be to provide event support and coordination services for the fiscal year 2026 (FY26) New Mexico Safe School Summit on behalf of the New Mexico Public Education Department (PED). Services to be rendered include: • The New Mexico Public Education Department was allocated a project budget of ($200,500.00) for the New Mexico Safe School Summit (NMS3). The selected event support and coordination vendor must be able to budget for the specifications in the scope of work and include the salary(s) for the event support and coordination services. A preliminary budget shall be submitted to the Department no later than forty-five days after the contract award. • Ongoing communication and coordination with the New Mexico Public Education Department and the New Mexico Safe School Summit (NMS3) Host Committee to plan an annual conference on a date determined by venue availability and approval by the NMS3 Host Committee. • Negotiate and secure arrangement, include but are not limited to: pre-approved subcontracts, as applicable, for a conference venue; hotel logistics for participants, speakers and committee members; exhibitor space rental and sponsorship packages; maintenance and update of the existing NMS3 event website; summit registration database management, including on-site registration services and event marketing; speaker logistics for travel, honorariums, and presentations, including audio/visuals at the event; and catering services during the event.
