Specifications include, but are not limited to: The purpose of the Request for Proposal (RFP) is to solicit sealed proposals to establish a contract through competitive negotiations with qualified hotels and convention service providers in the Santa Fe/Albuquerque metropolitan area to host the Annual Statewide community Seminar and Law Enforcement Conference of the New Mexico Gang Task Force (NMGTF) in early spring 2014. SCOPE OF WORK (Pass/Fail) 1. The facility must be equipped with audio/visual capabilities to include microphone(s) and amplifiers, wireless microphone, LCD projector and screens, plasma televisions, and other audio visual equipment, as required. DPS requires the ability to bring in an outside Contractor for Audio Visual Equipment. 2. A registration area for conference attendees equipped with at least six (6) 8 skirted tables and 10 chairs behind the tables for staff. This area must have wireless internet access as well as electrical access. 3. Room for at least ten (10) vendor booths. Each vendor booth would be equipped, at a minimum, with one (1) 8 skirted table and two (2) chairs, wireless internet and electrical access. Area shall be secured for vendors to store merchandise overnight. 4. Break room for conference attendees to comfortably network and socialize. 5. An auditorium will be required for general session to seat at least seven hundred (700) guests, theatre style. The general session will require passage through the audience to a resting place on the stage area. 6. Provide a raised platform for the U.S. Flag and the N.M. Flag with stands. 7. Offeror must be able to provide free parking for all seminar/conference attendees. 8. The DPS will negotiate arrangements required for security services for the event, in consideration of law enforcement personnel that may be provided by affiliates of the NMGTF, and security services that the Offeror may be equipped to provide. 9. Offeror shall provide a list of discounted/government room rates for consideration by Conference participants for hotel accommodations. Discounted room rates would remain in effect until date agreed upon by both parties. Due to budget limitations of the DPS and per diem limitations of conference participants, the DPS cannot guarantee minimum room reservations. 10. Offeror shall provide transportation for seminar/conference attendees to and from the Albuquerque Sunport and the conference facility via either a shuttle or through the Railrunner. 11. The Offeror must agree to perform the scope of work as defined in the RFP and must submit a statement of concurrence.
