The County of Somerset, Surrogate’s Court requires bids for 4 additional scanning and microfilming services. The Surrogate’s office handles approximately 25,000 clients per year and Probates wills: qualifies executors, administrators, and trustees and issues necessary documents for administering estates. As the custodian of the funds belonging to minors’ estates, the Surrogate’s Court oversees the minors' assets and expenditures until the minor reaches majority. Processes mental incompetency’s and conservatorships and handles all adoptions of minors and adults. The Surrogate’s office is also responsible for microfilming documents. A. Microfiche Conversion 1. Backfile Conversion of Microfiche: a. Cabinet 1 – Dockets 84-200 to 99-1362 (Estimated 28,500 fiche) o Index: Docket Number, First Name, Last Name, Case Type Restricted/Public o Import into AX (Application Extender) b. Cabinet 2 – Dockets 79-729 to 83-425 (Estimated 8,000 fiche) o Index: Docket Number, First Name, Last Name, Case Type Restricted/Public o Import into AX (Application Extender) 2. Ability to provide additional backfile conversion of microfiche on an as needed basis. B. Upgrades 1. Guardian Follow-Up Module: Internal module to be installed into the existing Bluestone Probate System that offers increased data tracking for Guardian Accounts. This module shall allow for the following: a. Additional data to be captured for certain cases within the Bluestone Case Management system that are flagged as “Follow-up” cases. b. Additional data to be in list form which shall include, but not be limited to the following: o Annual review submission dates o Visit date and outcomes o Follow-up requirements, date, and outcome
