Essex County Turtle Back Zoo is soliciting bidders for rental of lighting displays, including installation, maintenance and removal, for the annual Holiday Lights Spectacular. This will be a two (2) year contract from the date of award with an optional two (2) year extension. ORGANIZATIONAL OVERVIEW Essex County Turtle Back Zoo is a government owned and operated public zoo in the South Mountain Reservation of the Essex County Park System. Opened to the public in 1963, Turtle Back Zoo has been a New Jersey treasure and family destination for more than 60 years. Turtle Back Zoo is the largest suburban attraction in Essex County. The 25+ acre Zoo annually serves nearly 1 million visitors from the diverse NY/NJ metropolitan area. The Zoo is open 362 days a year. PROJECT OR PRODUCT DESCRIPTION Turtle Back Zoo is planning its annual holiday lighting event, Holiday Lights. The event open to the public in Mid-November and closes on January 1 of each year. It is closed on December 24 & 25 annually. We are seeking a vendor who can provide a catalogue of display pieces that can be selected from annually. The catalogue must have a minimum of 800 unique display units to select from that include glamour pieces, 3 dimensional pieces, animation pieces, and synchronized audio/animation pieces. It is important that the vendor is able to provide different rental pieces in all four years of the contract. There is a $30,000.00 allowance in the contract for unforeseen items. SCOPE OF WORK TO BID We are soliciting for creative illuminated displays to showcase Turtle Back Zoo during Holiday Lights. Installation and inspection must be completed before NOVEMBER 10 annually. All proposals should include in their pricng: Creative Design Installation Sound equipment Maintenance Removal of all equipment and wiring All power cables must be provided A non-mandatory, site walk through is scheduled for 10am on Wednesday, JULY 23, 2025. SPECIFICATIONS & REQUIREMENTS/DELIVERABES LED light displays, structures, etc. at location (s) to be determined o Responsible for all cabling from light fixtures to power source • Responsible for all sound equipment, cabling and speakers o All electrical connections should be wrapped and raised above the ground to eliminate moisture o No add-a taps, vampire plugs, lamp cord, etc. can be used. All extension cords mut be grounded, twelve (12) gauge, and outdoor rated • Respond to any operational issues in a timely fashion • Provide detailed, itemized list of fixtures Ο Vendor must follow all Essex County guidelines and schedule an inspection with Essex County inspector prior to the beginning of Holiday Lights
