Specifications include, but are not limited to: 1. Bidders are required to have the following activities and amenities available for usage on July 22, 2023, from 12:00 noon to 5:00 p.m. The event will be held rain or shine. The location must be within fifty (50) miles from the City of Newark on a minimum of eighty (80) acres of land. The city estimates the number of adults 18 years of age and up, estimated to be 1,000, Teenage Children (Ages 13-17) estimated to be 1,000, number of Children (Ages 9-12) estimated to be 1,000 and Children (Ages 0-8) will be FREE/NO CHARGE City of Newark Does Not Guarantee The Final Amount Of Attendees. 2. Bidders must supply a four (4) hour, “All you can eat” buffet, service to begin upon arrival of the first guests along with beverages (non-alcoholic) and desserts. All you can eat buffet shall include hot dogs all beef, turkey hot dogs, hamburgers all beef, cheeseburgers, garden burgers, turkey burgers, assorted toppings for burgers and hot dogs, grill chicken, BBQ chicken, Cole slaw, potato salad, garden salad, macaroni & cheese, French fries, snow cones multiple flavors, popcorn, cotton candy, watermelon, cookies assorted, ice cream assorted flavors and funnel cake. 3. Easy access parking adjacent to the facility must be available at no extra cost. Bidder shall provide a welcome banner. 4. Amenities must include carnival games, indoor/outdoor aquatic facilities to accommodate up to 1500 people, laser tag, zip lining, rock wall climbing, bumper cars, paddle boats, volleyball courts, basketball courts, tennis courts, miniature golf course, inflatable rides (with equipment for each activity provided by the vendor/facility), gaga pits, playground area for age-appropriate children, and all other inclusive amenities of the facilities. Vendor must have specific accommodations/amenities for Senior Citizens, including but not limited to: a) Separate food set up and use area for seniors b) Music, generation specific (Ex: R& B, Oldies) c) Casino games d) Bingo games e) Staff and host to accommodate senior citizens designated area f) Shuttle services to transport senior population around facility, when needed 5. The City of Newark will provide the sound and DJ for the main event area (not for senior citizens area). Facility must provide all electrical connections required for use by the city. No extra charge may be imposed for this activity. 6. Pricing must be inclusive of all costs for entire event. Pricing shall include price per person for each group size and age category, children (Age 0-8) will not be charged as set forth on the Price Sheet. Bidder must also calculate/add the total price per person using the attached price sheet. Bidder shall provide a copy of the menu, amenities available to the City for the price per person quoted. 7. Bidder shall provide a copy of all licenses required for the services and amenities it will provide.
