Specifications include, but are not limited to: In considering a Managed Print Services Program, the State of New Hampshire looks to obtain these objectives: 1. To partner contractually with an experienced Managed Print Services vendor who will provide management of the State’s office printers using appropriate tools and expertise. 2. To reduce overall spend on office printing and quantify the savings. 3. To take careful account of localized needs and provide appropriate and reasonably convenient printer capacity to all users. 4. To provide limited access to color printing capability on cost-effective devices. 5. To right-size the state’s office printers individually and the fleet as a whole. 6. To establish a simple and intelligent procurement pathway for placing new office printers in State offices. 7. To establish a method and rate of charge that reflects actual usage and eliminates wasteful spending on unused capacity. 8. To ensure that all state copiers and printers are configured to protect the cybersecurity of state networks. 9. To automate the reporting of basic data about the State’s fleet (e.g. low toner, break/fix, meter reads, etc.) to a single collection point behind our firewall using FM Audit software. From this point, the communication of vital data to a Managed Print Services Contractor can be done securely. 10. To reduce the variety of printers in the fleet, so as to simplify the network management tasks of the State’s Information Technology personnel. 11. To locate and decommission printers in the fleet that are unnecessarily costly to operate. 12. To move or encourage print jobs to be done on the class of printer that can print them most economically. 13. To monetize the State’s copier management program in a manner that funds the Bureau of Graphic Services’ costs to supervise the program. 14. To improve the State’s environmental footprint by reducing energy consumption and wasted prints.
