Specifications include, but are not limited to: Currently the City of Missoula owns properties that include: commercial building at 301 East Main (former public library site) and commercial buildings at 1919 North Ave W. The City is seeking a property management firm to rent, lease and manage these properties and others as identified. The services we are requesting include: 1. Provide a needs assessment on changes necessary to make the properties leasable 2. Setting rents according to market demand and prepare market analysis of each property establishing fair market rental value during each rental period 3. Provide standard lease agreements specifying responsibilities of landlord and tenant for ultimate approval by the City Council 4. Providing tenants with 24 hour emergency telephone contact numbers foremergency repairs 5. Ordering repairs, services and maintenance on the various buildings, appurtenancesand grounds as requested by the City of Missoula 6. Yearly inspection of properties, including management plans and recommendation for maintenance needed 7. Advertise properties for lease, screen and select tenants using the followingtools: credit application, personal and business reference checks and personal interviews 8. Prepare and execute lease agreements using only lease forms approved by the City of Missoula 9. Determine and verify insurance requirements for tenants when appropriate 10. Re-key locks for new tenants when appropriate 11. Change communications, electrical, gas, garbage, sewer & water billing as required between property occupancies 12. Acknowledge and comply with the provisions of the Montana Landlord and Tenant Act. 13. Administer tenant deposits 14. Collect rent and late charges as needed 15. Inspect the properties, in the company of the renter, prior to move in and completea detailed inspection report that shall be provided to the City of Missoula 16. Conduct a final inspection when the property is vacated, with a move outinspection report 17. Provide a monthly report/statement for each individual property clearly indicating the income received, income withheld for services, what those services are, vacancies, turn- over schedule and budget for unit/property turn over. The City reserves the right to request further information from the chosen property managementprofessional.
