Dated: July 16, 2021. The City of Rochester Hills is accepting quotations for a three-year blanket purchase order for disposable white and colored polo knit pre-washed wiping cloths.
Unit prices are requested, FOB City of Rochester, Department of Public Service Maintenance Facility, 511 E. Auburn Road, Rochester Hills, MI 48307.
With the COVID-19 pandemic, some City processes have been affected and as such, are requiring adjustment to our normal processes to accommodate. Only those person(s) designated above are authorized to seek additional information from prospective vendors regarding their quotes. Correspondence or inquiries made directly to vendors regarding their quote proposals from all other persons are to be directed to those City employee(s) designated above for appropriate review and response. All inquiries shall be made in writing on or before Thursday, July 22, 2021 at 11:00 AM EST, in order that a written response in the form of an addendum can be processed before the quotes are due. Inquires received after that date will not be considered.
As this quotation is being made available by electronic means, the vendor accepts full responsibility to ensure that no changes are made to the quotation documents. In the event of conflict between a version of the quotation submitted by vendor and the version maintained by the City of Rochester Hills Purchasing Division, the version maintained by the City of Rochester Hills Purchasing Division shall govern.
Specifications
The colored cloths shall be of a tee-shirt (polo knit) material with only usable sized pieces. There will be no buttons or zippers.
The white cloths shall be pre-washed “new” tee-shirt (polo knit) material with only usable sized pieces. There shall be no seams, buttons or zippers. Reclaimed cloths are not acceptable.
All wiping cloths are to be pre-washed and disposable. No flannel or sweatshirt material will be allowed. The average size of usable pieces shall be 12” x 15”, anything over that size is considered too large. The City purchases their wiping cloths in 50-pound boxes. Typically, the City will purchase six (6) fifty-pound boxes at a time. Only fifty-pound boxes are acceptable.
The City’s estimated usage for the contract term for white polo cloths are two (2) 50-pound boxes and seventy-five (75) 50-pound boxes of the colored cloths. Quantity figures, when given above are provided as an estimate of purchase volume based upon previous history and projected future use. This information is to be used only as a guide in the quote process and should not be considered a guarantee to purchase minimum quantities or restrict the purchase of materials in quantities that exceed the approximated maximum estimates.
These wiping cloths will be used by the City’s Parks, DPS Garage and Sign Shop.
Quote response must include samples of proposed product. Samples of the cloths that are currently being used by the City are not available for inspection. Samples properly identified with vendor’s name and address shall be sent to: City of Rochester Hills, Purchasing Division, 1000 Rochester Hills Drive, Rochester Hills, MI 48309.
