All correspondence must be made through the Vendor Portal. Specifications include, but are not limited to: 5.1 This contract will include but will not be limited to tents, tables, chairs, and linens. 5.2 The Successful Contractor(s) will commit to Jackson County all items awarded, make them available for special events. 5.2.1 Events at Jackson County Parks + Rec; including but not limited to: 5.2.1.1 Missouri Town 1855 Festival of Arts, Crafts and Music (October) 5.2.1.2 Dogtober Fest (October) 5.2.1.3 Christmas in the Sky (November) 5.2.1.4 Various other county related events 5.2.2 Communications Department and other various county departments may use on an "as needed" basis. 5.3 The Successful Contractor(s) must have the capability of handling multiple events on the same date and time. 5.4 The Successful Contractor(s) must be capable of rescheduling an event within a minimum of twelve hours' notice prior to scheduled arrival time. In the event of inclement weather or conditions beyond Jackson County's control, no charges will be assessed if a date is rescheduled. 5.5 The Successful Contractor(s) shall designate a single company representative as the contact person for all County rentals requests. The designated representative shall advise the County on equipment availability, confirm each rental, and schedule setup and takedown of all equipment ordered under this contract. 5.6 The Successful Contractor(s) shall identity a contact person with a day and evening telephone number of emergency communications resulting from severe weather, faulty equipment, and all problems associated with the rental. If a change in the company representative occurs, the Successful Contractor(s) shall immediately notify theCounty. 5.7 The tents and other special event equipment are subjected to crowd traffic and must withstand heavy use. The equipment may also be used for food serving situation, including food preparation. 5.8 Requests for equipment rentals may be made by telephone, fax, or email. The Successful Contractor(s) shall send order confirmation to the County within 24 hours of the initialrequest. 5.9 The County shall make equipment requests approximately seven (7) days and up to one (1) year in advance. 5.10 Special Event Equipment shall contain all materials and supplies necessary to remain in working order for the duration of the rental. Replacement of any component shall be the responsibility of the Successful Contractor(s) and shall be included in the rental fee.
