A. Venue and Lodging requirements: For the purpose of this vendor we require you to submit a written proposal which describes your hotel and conference facilities and capabilities to host 160 people over a period of 3 days. Indicate which services you would perform in-house and which ones would require outside suppliers. 1. Indicate your hotel room and meeting space availability for the date August 5, 6, and 7, 2024. The organizing team requires access to all meeting rooms and the plenary room by 10am the first event day, August 5, 2024 with meetings to begin by 12:00pm. • Sleeping room requirements: • Description of the accommodations • 40 rooms available on August 5 by 2pm (preconference attendees and rootEd leadership team) • 140 rooms available on August 5 by 3pm • 160 rooms available on August 6 2. Describe the hotel’s ability to check in large groups of people at once. • Check in requirements: • Multiple check-in stations with minimal guest wait time • Ability to process tax exemption • Optional self-check-in 3. Describe your dedicated team: The hotel must be able to provide a dedicated team, before and during the event, that will be able to quickly understand and adapt to the complex nature of the event.
