1. Delivery of election equipment will vary for each election. Each precinct involved in any election will receive one (1) blue transport cabinet (approx. 41”W x 67”H x 24”D on 4” casters; weight is over 100 lbs. and final weight is dependent upon number of ballots/booths and varies by location) and one (1) black optical scan box (approx. 28”W x 32”L x 42”H; weight is less than 10 lbs.) as listed by the Election Authority’s office two (2) weeks prior to the election. 2. There are currently 107 voting precincts throughout St. Charles County. This number may increase or decrease throughout the term of agreement and not every precinct is involved in all elections. The County is requesting a “per unit” pricing schedule and will pay invoices for each election based on the number of precincts participating and the equipment required for delivery and pick up. 3. Some precincts may have “Extra” items that do not fit into the transport cabinet. Examples of some of the “Extra” items include, but are not limited to the following: Suitcase voting booths, ADA voting booths, handicapped parking signs, tables, chairs, etc. A list of any “Extra” items for delivery to be provided by Election Authority. Delivery of extra items not included inside the election cabinet/transport cabinet to be done at the same time as delivery of transport cabinets and election equipment. 4. Pick up all transport cabinets, election equipment and other “Extra” items such as: booths, tables, chairs, poll signs, etc. after the election. Everything delivered must be picked up. 5. Delivery typically occurs on the Thursday, Friday and Monday immediately preceding a Tuesday election, depending on polling place requirements. The Election Authority will provide specific delivery information two (2) weeks prior to an election and the Delivery Service is required to follow these strict guidelines. Pick up of all election equipment must be completed within three (3) business days following the election (Friday following Election Day). 6. Due to the extreme sensitivity of election equipment, extreme care must be provided by the delivery service. Tie down straps required. 7. All delivery trucks used must be enclosed with security locked doors, have lift gates and be between 24- and 26-foot box trucks. Larger trucks have difficulty delivering to some polling locations. 8. Bidder must be willing to provide one (1) support crew from 5:00 am to 10:00 am each election day in the event election equipment needs to be moved to another location. 9. Crews must consist of two (2) people per truck to deliver voting equipment inside the buildings. When not attended, the truck must be securely locked up. The average County-wide election consists of a minimum of four (4) trucks per day, Thursday through Monday before Election Day for delivery and Wednesday through Friday after Election Day for pickup from 6:00 am to 6:00 pm. Some holidays may be involved depending on special elections, price accordingly.
