Specifications include, but are not limited to: The Consultant shall work in collaboration and maintain close communication with the City Contract Manager and will perform all property management services. . The Consultant will ensure that the property is well maintained, providing safe and sanitary conditions, making necessary site maintenance (e.g., snow removal and grass mowing), and responding to tenant complaints. The Consultant will perform services related to day-to-day management functions, including, but not limited to, operating, maintaining, servicing, and entering into agreements for use of the site. The Consultant will need to collaborate and coordinate closely with UHT’s current property management firm during the transition, if the existing manager will be retained for a period of about month to assist with that transition. • Compliance with City regulations o Maintain all necessary permits and licenses for ownership and overall operation of the site, e.g. air quality and stormwater permits, Fire Inspection, etc. o Ensure all tenants and customers have the appropriate license and permit to do their work on-site. • Coordinate site operations with redevelopment preparations, e.g. access for soil/environmental testing, structure demolitions. • Coordinate real property management activities with appropriate City staff, neighboring property owners, and others as required. • Management of existing and/or new tenants and customers agreements, e.g. collect monthly rent and space use payments, address tenant issues, extend or terminate agreements as appropriate. • Work with City to manage terms of various customer/lease agreements and communicate with customers/tenants to end those uses when needed to allow demolition of various improvements and/or conveyance of parts of the site for redevelopment. • Related accounting and reporting o Some or all utility bill and stormwater management fees related to maintenance of the site (either reimbursable by the City or paid directly by the City) o Monthly Balance Sheet, Income Statement, and Operating Statements o Accounts Receivable, Accounts Payable, Incident Reports o Maintenance and Preventive Maintenance Reports, as needed o Reports on all current and pending Legal Matters o Fiscal Year End Reports and other support for the annual audit o Other requested reports • Other services expected (and sub-contracted if needed): o Security monitoring, site security o Exterior landscape maintenance o Snow removal o Trash/recycling removal o Pest control o Application of dust suppressant to gravel surfaces • Other services as they appear, e.g. dealing with homeless camps, debris/trash dumping on site, complaints related to site maintenance, assistance in disposal of equipment, appropriate legal actions as necessary
