Specifications include, but are not limited to: The County has identified the following core functionality requirements we expect to be met by the document system: Administration/Regulatory • Ability to import, review, redact, edit, and delete associated case documents and reports. • Compatible with OnBase to import existing data. • Compatible with CourtView to transmit criminal history records to the State of Michigan. Ability to store a significant amount of data (i.e. large documents, videos, pictures, images etc.) without experiencing storage issues, and store body-worn camera footage or integrate with existing storage sites (i.e. Evidence.com). Internal and Public Search • Provide efficient means of document and index retrieval. • Ability for internal users to access each image and document in the system. Internal superusers should be able to view all documents in the office-wide system. • Ability to set permissions and restrictions on cases for internal users and public searches. • Easy case access on a laptop or tablet in a court setting. Reporting • Ability to generate and print all standard, user, case, and custom reports as defined by the County. • Ability to send and track discovery to defense counsel electronically. • Ability to send subpoenas electronically and track if and when they were received/viewed. Security • Each user assigned a unique logon name and password with option of single sign on (SSO) using existing County or Microsoft credentials. • Single password for system functions/modules per users. • Ability to assign user permission within each module. • Logging/history of all document modifications and transactions. • Compliant with CJIS and LEIN standards for encryption, document storage and transmission. • Ability to access from internal network connection as well as off-site, such as outlying District Courts. Interface Compatibility • Ability to interface with existing District Court case management systems, such as JIS/AS400, Quadtran, and FullCourt. • Ability to interface with other criminal justice and local law enforcement reporting systems such as Michigan Secretary of State records, LEIN, JailView, TIMS/Talon, and GRPD Electronic Record Management System (FileMaker).
