Specifications include, but are not limited to: I. System Requirements - Paging 1. Preferred System Software/Hardware to be used: a. Valcom IP6000 based 2. System will be upgraded/installed in the following building: a. Clare Primary School 205 East Wheaton Clare, MI 48617 3. The paging system must allow the building to page all rooms, specific zones, and individual rooms. a. Each classroom including the gym, commons, and cafeteria should be considered a single paging location/zone. b. Hallway speakers should be considered a single paging location/zone per floor. c. Office areas should be considered a single paging location/zone. 4. Preference will be given to IP based speakers where applicable 5. The system should be capable of interfacing with the existing telephone system. a. District currently has a Mitel Connect VoIP phone system. b. End users must be able to dial a specific number that would interface into the paging system and allow them to page from any phone in the building. 6. Attachment "C" Primary School Floor Plan a. Vendors may recommend additional speaker or horn locations. b. Vendors will be responsible for disposal of any existing equipment. c. Rack space will be provide in closets labeled "I" and "J" d. Vendor should include optional cost of patch panels if needed 7. The system must be able to provide bell schedules or alerts. 8. Preferred system allows for pre-recorded alerts to be configured. 9. System must have a web-based administration for programming, scheduling event changes, and emergency notifications. 10. List as OPTIONAL. Call buttons installed in all CLASSROOMS. a. Standalone phone in office must include ability to display location/id of call button for incoming call button requests. 11. Must have 3.5mm audio jack in office for audio to play over PA 12. System must be expandable to cover entire campus in future projects 13. OPTIONAL CLOCK PACKAGE a. 4" Digital Valcom (prefered) clocks where noted in attachment b. Vendors may recommend additional clocks c. Clock package should be listed as optional in proposal d. If clocks are awarded they will be installed at the same time as paging to save labor and cabling costs. Please take this into consideration when bidding e. Speaker/Clock Combo units will be considered where applicable. 14. Alternative proposals will be considered if a compliant base proposal is submitted. II. Installation 1. Work must be completed by the project due date, unless otherwise approved by the District. a. The awarded vendor will schedule work through the district Technology Coordinator or designated contact. 2. Once the proposal has been awarded, the vendor will provide a PLM bond for the amount equal to the awarded contract amount. 3. Awarded vendor will walk through the building prior to installation for a complete analysis of the system with appropriate stakeholders. 4. Network connected paging equipment location must be approved with Technology Coordinator or designated contact prior to installation. If there is room to place equipment in Network Closets, that would be preferred. a. If the unit is rack mountable, please provide the approximate size of the unit (in rack U’s). b. If equipment is placed in another location, the vendor is responsible for running low voltage network cabling to the network closet. 5. The vendor will be responsible for running any low voltage cabling for the system, including but not limited to, speakers, horns, Cat6, and call buttons. a. Cabling should be in J-Hooks or otherwise tied up so that it is not laying on any ceiling grid. b. The vendor will be responsible for any wall penetrations and sleeves. Fire stop must be used for all penetrations. 6. Vendor is responsible for mounting/installing speakers. a. All necessary mounting hardware and materials should be included in installation cost. 7. Vendor is responsible for testing all functions of the new system to ensure they are working properly prior to completion. 8. Installation will occur during the school year and should be assumed that access to the building will be after 3:15pm with exceptions on Saturday and Sunday. 9. Final cut-over and testing may be done during winter break or spring break based on installation timeline III. Programming 1. Once awarded, the vendor will schedule a meeting with the District to discuss programming options. Include any time to program/configure the system with the base proposal. 2. The vendor will include any programming changes requested within 180 days of the system being handed over for acceptance by the District. 3. Please provide an hourly cost for any future changes. Include drive time if necessary. IV. Individual Unit Costs The vendor must provide per unit pricing for the following in the proposal RFP. 1. Analog Ceiling Speaker (Common Areas) 2. IP Ceiling/Wall Speaker (Classrooms/Offices) 3. Internal Horn Speaker 4. External Horn Speaker 5. Call Button 6. Estimates on Cabling, Installation, and Programming for adding a single unit 7. Estimate on any annual maintenance/support 8. Time and Materials cost for repairs.
