Software and Licensing /Subscription 1. The software solution will ideally meet all or most of the technical and functional requirements included in Attachment F (“Attachment F - Requirements Matrix v1”). 2. The licensing or subscription model must adequately support an agency of our size. 3. Licenses (or subscription) shall provide required software access to City users for the life of the contract and any executed contract term extensions. 4. Price for use of each license/license/subscription type to be set for each year of the contract’s base term and for optional contract term extensions. 5. License subscription includes software updates, upgrades and platform changes throughout the life of the contract and any optional contract term extensions. Upgrades shall be provided by the vendor at no cost to the City so long as a valid maintenance and support agreement or, if applicable, software as a service licensing agreement, is in place. 6. Proposal must describe how the software is licensed (e.g. named user, concurrent users, enterprise/site, power user vs. basic user, etc.) and the options available for licensing/subscription. 7. Proposal must describe whether the same license/subscription shall be required for all users, or if there are varying levels or types of access, what those access types/levels are, and access and/or restrictions associated with each. Project Management and Professional Services 1. Project management and implementation services including a dedicated Project Manager who will serve as a primary point of contact for the City for the duration of the contract 2. Weekly project status calls and project status reporting 3. Project risk analysis and mitigation 4. Issue escalation process Project Deliverables The vendor will provide, at a minimum, the following services: 1. Full scope of services as outlined in this RFP 2. Project plan which shows all required tasks, approximate timing, which tasks are on the critical path, and which group is responsible for each task 3. A description of the deliverables as they relate to the required tasks specified in the project plan 4. System configuration plan and implementation plan 5. Data conversion and migration 6. Test plan including load and user acceptance testing 7. User training program, resources and materials 8. Support and Maintenance Plan
