The tent and equipment rental services to be provided by the contractor will include, but not be limited to: • High-quality, well-maintained tents and equipment (tents, tables, barricades, etc. form the backdrop to some of our most photographed moments of the entire year; equipment must look the part). • Ensure the timely delivery of the tents to the specified location on the agreed-upon date. • Trained and experienced staff for installation, maintenance, and removal of tents. • Adherence to safety standards and guidelines in tent installation. • Implementation of safety measures for adverse weather conditions. • Collaborate with event organizers to determine the optimal tent layout based on the anticipated number of attendees and specific event requirements. • Remove the tents and associated equipment from the event site within the agreed-upon timeframe. • Vendor is responsible for conducting DigSafe measurements and pre-marking at least ten days prior to installation. • Lay out protection to minimize damage to the grass by heavy equipment. • Ability to customize tent configurations to suit various event sizes and styles. • Adaptability to changes in event plans or requirements. • Ability to handle last-minute requests or adjustments. • No high peak tents on the field at McGuirk Stadium. • Barrels and weights need to be covered in white or black vinyl (color selected must be uniform in each location, e.g., on the field, inside the stadium, at Mullins, at Stockbridge, etc.). • Seek approval from University Parking Services before making holes in parking lots/ blacktop for tent stakes. All holes must be filled at the time of tent removal. • Lift gates are necessary in the case of equipment delivered in trailers. • Vendor completes all necessary permits (building and/or tent permits) as required. • Commencement: UMass Physical Plant personnel are available to fill trucks/trailers post-event.
