Specifications include, but are not limited to: 1. Mt. Greylock Regional School District, in accordance with M.G.L. Ch. 30B, is looking for school business management services. These services include: (1) Budget development and preparation; (2) All aspects of financial management, procedures and reporting; (3) Grants and other supplemental funding sources management; (4) The completion of all required financial reports; and (5) Assist the Superintendent, Administration, and School Committee in managing the school resources. 2. Bidders must be able to provide monthly and quarterly financial reports to those with budget authority and the School Committee, including information on grants and supplemental funding sources as requested. 3. The Department of Elementary and Secondary Education End of Year Pupil and Financial Report must be filed by the required deadline. a. NOTE: Due date of this Report is September 30 of the following fiscal year. The successful bidder will be responsible for completing the FY19 report by the September 30, 2019 deadline as well as any report thereafter while under contract for services with the Districts. 4. Serve as Chief Procurement Officer on all 30B purchases. including preparing specifications for soliciting bids, examining samples submitted, tabulating bids and recommending awards. 5. Work with Mt. Greylock District Treasurer in ensuring strong cash management, maximized borrowing opportunities and reporting. 6. Bidders must have or develop a web-based system for reporting and sharing information to be determined by the Superintendent and in conjunction with the bid award winner. a. Examples are monthly reports for budgets, grants, revolving accounts and student achievement data. b. Bidders must have appropriate security and confidentiality systems in place. c. Bidders must be willing and able to complete tasks within District systems, including Infinite Visions, to ensure smooth operation of the District Business Office up to and including covering the responsibilities of the Financial Assistants as needed. 7. Bidders will be expected to attend regular School Committee meetings, MG School Building Committee meetings, the MGRSD Finance Subcommittee, as well as Budget Public Hearings and all Annual Town Meetings. 8. Assist the School Committee Negotiating Teams by preparing essential financial and comparison data.
