The following is an outline of basic management service tasks expected of the Contractor. o University Oversight: Contractor on-site staff will work under the general direction of the Associate Vice Chancellor, Administrative Services & Environmental & Emergency Management. o General Management: Provide the general management and coordination of all existing maintenance activities of the site, buildings and grounds. o Maintenance activities include: o Preventative Maintenance o Predictive Maintenance o Minor Repair Maintenance o Major Repair Maintenance (will be added to contract per event) o Monitoring and operation of Equipment/Systems working condition, performance and status, including BMS systems. o Procurement of parts associated with the maintenance activities. o Scheduling o Tracking o Reporting o Support Functions: The Contractor shall provide the following support functions in accordance with University standards: o Provide Preventive and Predictive maintenance for all site permanent assets. o Schedule work, prepare work schedules. o Assign work tasks. o Follow-up work tasks. o Procure and obtain parts and supplies for self-performed work o Produce reports detailing work performed, costs, man-hours and personnel. o Establish repair and maintenance budgets and make annual projections. o Maintain equipment inventories. o Create and maintain an electronic and filing system. o Manage work orders (enter, monitor and close) with the University’s CMMS system. o Manage locks and keys with the University and its vendor(s). o Place purchase orders on behalf of the University.
