Specifications for Audio and Visual Services The Contractor is responsible for all of the following audio and visual specifications for each session of Town Meeting. Contractors should reference Attachment A_FY26 Town Meeting Schematic in addition to the specifications below. Audio 1. A sound reinforcement system for the Town Meeting to the audience seated on the floor and in the bleachers that accommodate the full length of the field house. 2. System to include microphones for the moderator, presenter (Select Board/FinCom mic), and pro/con lecterns. In addition, a wireless microphone for use by physically impaired citizens speaking from audience that cannot get to the pro/con lecterns. 3. System to include speakers at the front of the room with additional speakers at the midpoint and towards the back of the seating for complete coverage. Speakers are to be on digital delay for time alignment and increased intelligibility. 4. A complete analog audio feed to be provided for use by WayCAM for broadcast on public access. 5. Small fold back speakers for the moderator and town clerk to monitor microphones from the presenter and pro/con positions. 6. Speakers on stands, a mix console, and all required processing, amplification and cabling. 7. Provide technicians to install, operate and remove all the audio equipment. Video 1. Two high intensity graphics projectors along with 16 foot wide by 9 foot wide high rear projection screens with dress kits. 2. Projectors to include appropriate size short throw lens. 3. Projectors to be supported on scaffolding. 4. Vendor responsible for providing all labor to install and remove the projectors. 5. A video/graphics switcher to allow switching between two laptops and the town-provided “document viewer” to be used to project the image on the screen. 6. Two laptops with Microsoft PowerPoint software to display the graphics. 7. A 40” down stage monitor to allow the presenter and moderator to view what is being presented on the screen. 8. An HD video feed of the program to WayCAM for broadcast. 9. Provide technicians to install, operate, and remove all the video equipment. Project Deliverables 1. All Audio and Visual Services for Day #1 of Town Meeting 2. All Audio and Visual Services for Each Subsequent Day
