The OFCHS is accepting bids only from qualified venue owners located in Maryland to provide space, equipment, break-out rooms, meals, and for up to 150-200 participants for the duration of the conference. Contractors must be able to accommodate about 200 participants. The facility must be clean, neat, have free parking on premises, free Wi-Fi, adequate restrooms, and at least one lactation room. ● The venue should be located in Baltimore County or Howard County. ● The venue must be able to accommodate a 2-day conference between the dates of May 6, 2026, from 7:00 am to 5:00 pm and May 7, 2026, from 7:00 am to 12:00 pm ● A conference center (located in the state of Maryland) with the ability to accommodate up to 200 participants from May 6-7, 2026. ● Free parking for up to 200 participants on the premises. ● Free Wi-Fi for attendees. ● Ability to provide catering service for hot breakfast, mid-morning and late afternoon snacks, and lunch on May 6, and May 7, 2026. There must be sufficient floor space to accommodate tables for all participants in one room for both breakfast and lunch, with each meal lasting 60 minutes. Sample menus must accompany the bid proposal. With continuous availability to water, coffee, and tea throughout the day. ● The contractor must reserve two (2) nights of standard guest room accommodation for up to forty (40) participants beginning Tuesday, May 5, 2026, and check out on Thursday, May 7, 2026. ● Audio/Visual (AV) equipment, including one or more screens, a projector, table for the projector, speakers, microphone, podium and other equipment capable of showing videos and slide presentations.
