Specifications include, but are not limited to:Campuses must be able to receive incident reports via the web Including anonymous reports); The software must permit campuses to track and manage behavioral, conduct, Title IX issues and equal opportunity complaints) and other related case management needs as appropriate (and tracking should be possible by type of case [conduct, behavioral, etc.]; Information contained within the solution must provide for secure communication with students (or others in the case of equal opportunity) and provide a clear audit trail for any case or situation contained therein; The software must include a robust analytic tool which will assist campuses in evaluating conduct patterns including Title IX and equal opportunity patterns and concerns and in complying with Clery Act reporting requirements; Software must have a mechanism that allows campuses to share data in a FERPAcompliant manner throughout the System, (e.g., role assignment must permit both individual and cross campus access as defined by the specific role of the user); Software should be easy to use and learn and intuitive to the conduct process, and should permit multiple users with differing roles to use the software (e.g., low use to high use, ability to assign users different roles, etc.); Software should permit the easy transition of data from an incident report into a case [e.g., easy movement of data across the continuum of incident escalation]. This approach to centralized reporting and record keeping must permit the coordination the efforts of various departments and administrator roles, including prompting of actions within specific timeframes; A variety of templates for communication and notification would be desired in this software solution, including the ability of a campus to “brand” their specific site and ability to proactively alert students or employees (in the case of EEO complaints) to reminders regarding due dates, etc. The ability for text as well as email for secure communication is preferred. The software/platform must interface with MaineStreet ( a PeopleSoft ERP which includes both Campus Solutions and HR), including the ability to view student status, class schedule and pictures if available, all of which are critical in efficiently completing the adjudication process; Appropriate and timely technical support to assist users as issues occur must be a deliverable. Comprehensive training for all identified users, including mechanisms/resources for “train the trainer” approaches, must be delivered as a part of the contract. Preferably, the platform should be able to be accessed from a variety of devices (laptops, tablets, etc.)
