Specifications include, but are not limited to:The desire is to contract with an individual or company to offer, manage and maintain a professional municipal tennis program and facility at an existing tennis facility leased by the Parish. a) The Proposer is to operate, manage, and maintain the Parish’s Tennis Complex and the Williams Avenue Courts facilities; provide competent tennis instruction for all ages and levels of play at a reasonable fee. Tennis programs should include, but not limited to adult and youth: classes, camps, clinics, leagues, tournaments, mixers, private lessons, and special events. b) The Proposer shall organize, promote, recruit and conduct local and United State Tennis Association (USTA) sanctioned tennis tournaments. c) The Proposer will provide patrons of Terrebonne Parish with excellent customer service and a positive tennis experience. Patrons will be treated courteously and respectfully. The Proposer shall be patient and polite when dealing with patrons regardless of the circumstances. d) The Proposer must submit a schedule of tennis programs and fees at specified deadlines as set by the Parish Council and Director of Planning and Zoning or his designee. All tennis programs will be listed on the Parish website and publications, the Tennis Complex Facebook page, and through flyer distribution (flyers promoting facility to be paid for by Parish – clinics, camps, socials, other tennis events to be paid for by Proposer). The successful Proposer will be responsible for coordinating these listings through the various Parish departments and will serve as Administrator for the Tennis Complex Facebook page. Any changes to the fee schedule must be submitted to the Director of Planning and Zoning for review and subsequently submitted to the Parish Council for approval via Ordinance prior to being implemented. e) The successful Proposer shall be responsible for the collection of all fees that are related to tennis instruction, lessons, drills, clinics, tournaments, leagues, and/or any other tennis related activities and register and deposit these fees on a schedule established with the Parish Finance Department for reconciliation. The Proposer will then be paid according to the established payment schedule. Additional reimbursement type payment will be net 30 days from receipt of invoice subject to approval by the Director of Planning and Zoning and Parish Department of Finance. f) Of the ten (10) Parish-leased tennis courts, two (2) must remain available for general public use free of charge, with the exception of large tournaments or other pre-arranged events which may require the use of all courts. Should this be the case, the Proposer will be responsible for providing reasonable public notice of the use ahead of time through on-site signage and Facebook postings. g) All court usage fees, monthly membership fees and school usage fees will be retained by the Parish. Thirty percent (30%) of all revenue associated with tournaments, leagues, public linics, and/or any other tennis related activities will be retained by the Parish with the remainder going to the successful Proposer. Private instruction, private clinics, social tennis activities, and event sponsorships would be exempt. Proposer may also conduct one free public clinic per month if they so choose in order to promote the facility.
