Specifications include, but are not limited to: • Provide a unified process for extraction of data from any institution of secondary and post-secondary learning. o It should improve efficiency in making an admission determination. o It should improve efficiency in making a determination of transfer of academic credit. • Must be a non-template based platform to accommodate the many, varied and unique academic transcript formats received • Must be able to integrate with existing Perceptive Software (ImageNow) 7.1.5 or higher optical imaging platform that includes: o Existing capture licenses (Cofax and Adrenaline) o Existing hardware currently employed such as PCs and Scanners • Software must have ability to integrate with Workday 32 and higher. • Software must have ability to capture and record transcript data using Optical Character Recognition (OCR) and import data directly into the ERP • OCR software must provide two-way communication/integration with FHSU’s Workday ERP System. Vendor will work with FHSU and Workday to arrange for installation, configuration, and ultimately the integration between the OCR software and the FHSU Workday ERP System. • Software must have the capacity to process up to 20,000 academic transcripts annually, half of which may be received electronically, half as hard copy • Software must have ability to track and monitor workflow processes • Software must have independent operability by end user with ability to make changes • Software must have ability to upload essays and other documents (i.e., videos, images, audio files) • Software must have ability to automate paper-intensive Admissions processes to increase accessibility and timelines • Software needs to be cloud-based solution, both hosted and managed by the vendor. • System must provide high availability so as to ensure minimal downtime. Eg. 99.9% up-time guarantee. • Technical support should be provided by the vendor for the length of the contract. • There must be a high level of availability for technical support, particularly during the testing/start-up phase. • Vendor will provide and implement any product software patches/updates, as well as assist with any implementation issues. • Training requirements: System Administrators and primary users will need to be trained face to face. • All product manuals will need to be provided for software. • Interface for software must be 100% web-based. • There must be a single signon integration (SSO). • There should be a test and production instance available at all times. And, production to test refreshes available at no extra cost. • System must allow for concurrent administrative sessions.
