The selected vendor will be responsible for end-to-end indexing of approximately 1.2-1.3 million document images from the Register of Deeds archives. The scope of work includes: Document Review and Data Extraction For each document image, examine the content and extract key indexing fields. At minimum, this includes the Grantor(s) (seller or party conveying interest), Grantee(s) (buyer or receiving party), Legal Description (if applicable), and Recording Date of the instrument. Additionally, the Document Type for each document must be either confirmed or validated. With the document images, the vendor will be provided with a unique Document ID for each document and should be appropriately mapped to that Document ID to ensure the index entries can be uniquely tied back to each image. Redaction of Sensitive Information Some documents may contain Personally Identifiable Information (PII) that must be redacted during the process for specific document types including Death Certificates, Mortgages, and UCC Filings (beginning in November 1936 and onward). The anticipated number of such documents is approximately 300,000. The successful vendor will only provide images in return for such cases where redactions are made in a preferred format of Group 4 300 DPI TIFF or standard PDF. In cases where the automated redaction process is uncertain, such as when encountering non-standard document formats or ambiguous content, the vendor is required to flag such cases for review prior to final processing. Data Organization Organize the extracted data in a structured format linked with the corresponding document IDs.
