The selected vendor shall identify and permanently obscure PII within the provided document set and return the fully redacted images in the same format and structure received. Document Set and Formats Documents will be provided digitally; A mix of PDF and TIFFs, specific counts of each type are not known until export. (If conversion of TIFFs is necessary, it may require time from Reno County for the conversion). Average 2 pages per document (although some as many as 120 pages). Documents will be delivered mixed by type (e.g. Death Certificates, Mortgages, UCC, Affidavit of Death/Heirship, etc.) A CSV inventory with document IDs and file paths accompanies deliveries; returned packages must preserve folder and file names. PII To Be Redacted (Non-Exhaustive) Social Security Numbers; Dates of Birth; Driver’s License/State ID numbers; Tax/financial identifiers; Banking/routing; Passport numbers; Medical account numbers; “Cause of Death” on Death Certificates; Minors’ Identifiers; and any other PII deemed sensitive by law. Return/Retention Requirements Redactions must be burned into the returned images; the County will retain the original unredacted master internally. Vendor must not retain County records after project closeout. Returned content must include all files and expected inventories. Jurisdiction and Processing Location Vendor may process in its own environment. No offshore or out-of-country processing is permitted.
