The selected vendor (“Contractor”) shall provide comprehensive preventative maintenance, inspection, and repair services for City-owned refrigeration and concession equipment. Services are required at multiple City facilities, including but not limited to: • Holiday Aquatic Center • Holiday Park Baseball Complex • MidAmerican Energy Company RecPlex • Raccoon River Park Softball Complex • Valley View Aquatic Center • Any additional City-owned facilities as designated The objective is to ensure that all refrigeration and concession equipment remains safe, reliable, and fully operational, minimizing downtime and extending equipment lifespan. A. Mandatory Services The Contractor must be capable of providing all of the following mandatory services: Preventive Maintenance (PM) Services Perform semi-annual preventative maintenance at all designated locations. Maintenance visits shall include, but are not limited to: • Cleaning condenser and evaporator coils, air filters, and drain pans • Checking refrigerant levels and identifying leaks • Inspecting door gaskets, hinges, handles, latches, and seals • Testing defrost systems, fans, thermostats, and control boards • Replacing bulbs, filters, gaskets, and other consumables in accordance with manufacturer recommendations, or sooner if inspections indicate wear, failure, or non-compliance with health and safety standards. • Running performance diagnostics to verify proper operation • Providing a completed maintenance checklist signed by the technician Repair Services • Respond to standard repair requests within 12 hours and complete repairs within 2–3 business days • Respond to emergency repairs within 2 hours and complete them within 24 hours • Emergency repairs will be determined solely by the City’s Authorized Contact or their designee • Emergency status will apply to failures that compromise food safety, public health, or critical operations (e.g., refrigeration units storing perishable goods rising above safe temperature thresholds, failures occurring during scheduled public events, or safety-related hazards) • All other service requests will be classified as standard repairs • Provide all labor, equipment, and tools necessary for diagnosis and repair • Use OEM or equivalent-quality replacement parts • Obtain City approval for repairs exceeding a specified cost threshold Equipment Types Covered The following equipment must be serviced under this contract: • Walk-In Freezers & Coolers – Maintain safe temperatures (freezers at 0°F or below, coolers at 35–41°F) • Reach-In Refrigerators & Freezers – Clean and maintain consistent cooling performance • Low-Boy / Chef Tables – Ensure safe food storage temperatures • Commercial Ice Machines – Clean, sanitize, descale, and perform full diagnostics on ice production systems
