Des Moines Area Community College (DMACC) is soliciting proposals for Graduation Caps and Gowns. Full RFP details are available through DMACC’s ebidding portal at dmacc.ionwave.net, or by contacting the Purchasing Department at purchasing@dmacc.edu. Vendors are requested to bid all items with pricing based on the following: • Pricing shall be inclusive of all extra charges including but not limited to charges for packing, containers, insurance, transportation, and delivery fees. • Delivery of faculty gowns: o To one (1) central location per commencement. (Boone, Carroll, and Metro) • Delivery of student gowns: o To each campus participating in commencement. (Boone, Carroll, and Metro) • Sizing Requirements: o The vendor must provide regalia in a full range of sizes to accommodate all students, faculty, and staff participants. At minimum, sizes should be available from Small (S) through 4XL, with additional options for petite and tall lengths to ensure proper fit. Vendors must clearly indicate how gown sizes are determined (e.g., height/weight chart) and provide guidance to assist with accurate ordering. Availability of extended sizes must be guaranteed at no additional cost or with transparent pricing disclosed in the proposal. • Provide pricing on the following items with the specifications in this RFP: o Student Keeper o Faculty Rental o Stage Party Rental o Stage Party Keeper o Cap/Mortarboard o Tassel with charm o Honor and Veteran Cords Student Regalia: • Preordered regalia must be packaged with all items with a clearly visible sticker with the student’s name, degree, gown size. o Orders submitted electronically by credentials department on student’s behalf. o These packets must be alphabetized by last name. • Both prepackaged orders and individual pieces (up to 15% of stock minimum) must be able to be returned for a full refund. o Must not have a timeline for these returns. • Must be able to purchase Honor Cords (gold) and Veteran Cords (red, white, & blue). • Note in your proposal if your company has a recycle program. • Rental regalia should not have a late return fee. Faculty Rentals: • Must be able to provide high quality rental regalia. o Quality of gown/ hood must not be “souvenir” quality. o Estimated Rentals: Boone is 25; Carroll is 15; Metro is 125. • If mailed: Packages must have clearly visible sticker with the renter’s name, degree and college/university from which degree was granted. Gown height and hood velvet/satin colors should also be indicated on the package. • If delivered: Gowns must be hung and labeled with renter’s name, gown height, degree and college/university from which degree was granted. • Rental regalia should not have a late return fee.
