Specifications include, but are not limited to: SCOPE OF WORK. a. LODGING. i. Sleeping Rooms. The Agency requests the following number of rooms for the event: Queen King Friday - April 24, 2020 10 10 Saturday - April 25, 2020 15 15 ii. Lodging Requirements: 1. Any miscellaneous room charges incurred, including, but not limited to, roll away beds and telephone calls, are the responsibility of the attendee/occupant of the room. 2. Rooms must be cleaned each day unless otherwise specified by the event participants or staff. 3. Hotel must provide flat room rate for both single and double occupancy rooms; firm-fixed and all-inclusive of required lodging taxes and service fees. Total cost shall include any applicable service charges, etc. 4. Event attendees will not pay parking fees. 5. As this will be a registration process event, the Iowa National Guard Warrior & Family Services Branch requests the flexibility to release all unused sleeping rooms three (3) days prior to the event date without penalty. b. MEETING SPACE. i. One (1) conference room needed for the duration of the event. 1. Date / Time needed: A. Friday April 24, 2020 – 4:00 p.m. - 8:00 p.m. B. Saturday April 25, 2020 – 7:00 a.m. - 9:00 p.m. C. Sunday April 26, 2020 – 8:00 a.m. - 11:00 a.m. 2. Specifications: A. Meeting space to be set up with round tables, white table cloth on each table – set up to accommodate 40 people. c. CATERING. If in-house catering is not available, outside food and beverages will be brought in. i. Meal Requirements - April 24, 2020 1. Evening Snack A. Time: 6:00 p.m.-8:00 p.m. B. Quantity: 30 people C. Location: Meeting room D. At a minimum, snacks and beverages must include the following: • Water • Lemonade or Iced Tea • Coffee (regular and decaf) • Two (2) Finger style snacks – one sweet and one savory ii. Meal Requirements - April 25, 2020 1. Breakfast A. Time: 8:00 a.m.-9:00 a.m. B. Quantity: 40 people C. Location: Meeting room or other private dining area D. Continental-style breakfast – must include minimum of two (2) selections of each of the following: • Fresh fruit • Yogurt • Pastries or muffins • Beverages to include: water, lemonade or iced tea, coffee (regular and decaf), fruit juice, milk, hot tea
