Specifications include, but are not limited to: 1. Complete a current state assessment across clinic locations for 20 different medical specialties at one Academic Medical Center. 1.1. Complete a comprehensive operational assessment of work performed outside of the clinic visit (i.e., pre-visit and post-visit activities), including the roles and responsibilities of all employees performing these functions. 1.2. Define, outline, and evaluate the completeness and consistency of the various processes currently used for check-in, intake, check-out, and post-visit support activities. 1.3. Assess clinic resources and technologies used to pursue prescription prior authorizations, including the team members who contribute, time spent, and process used. 1.4. Delineate how these processes positively or negatively affect the patient, provider, and staff experience within each clinic 2. Recommend and apply best practice data inputs to produce industry-standard analytical tools and benchmarking to assess productivity and efficiency of the current state and recommend opportunities for improvement. 2.1. Identify a standard set of data and metrics that accurately reflect clinic efficiency and throughput, which can be used for analysis and benchmarking and ongoing performance management. 2.2. Complete a data audit and benchmark analysis of clinic staffing, processes, and performance to validate needs and opportunities. 2.3. Provide an analysis of the root causes of inefficiencies. 2.4. Present a gap analysis of existing processes and identify improvements and investments required to support optimal clinic performance in the future. 2.5. Present an opportunity analysis that includes prioritized recommendations for improvement through elimination/mitigation of root causes or process redesign. 2.6. Provide a detailed cost/benefit analysis (based on actual organization financials and patient demand) for each recommendation and a global analysis of implementing groups of recommendations. 3. Support change management, execution, and sustainability of changes the organization commits to implement. 3.1. Generate recommendations for aligning stakeholders’ goals and providing incentives for improved operational performance and efficiencies. 3.2. Plan for measurement and ongoing monitoring of improvements, including developing Key Performance Indicator dashboards to ensure that results are sustained. 3.3. Develop a communication plan including operational governance awareness/approvals, general faculty and staff education, as well as targeted physician/nursing engagement to support the roll-out of key initiatives 3.4. Assess proposed initiatives for proposed impact, appropriate resourcing, and alignment with UIHC’s strategic goals 3.5. Provide targeted support to effectively execute previously approved process and structure changes. 3.6. As project goals and the future vision for ambulatory care evolves, the Supplier may be considered to expand this project scope to include additional ambulatory locations and processes. 4.
