A. School Picture Services: 1. Individual Portraits: Provide detailed information on the process for capturing individual student and staff portraits, including on-site ID printing, scheduling, backgrounds, number of photographers (staffing) assigned for picture taking per student, and order fulfillment. 2. Individual Senior Portraits: Provide detailed information on the process for capturing individual senior portraits, including location, scheduling, backgrounds, fees, and order fulfillment. 3. Retake Process: Outline the procedure for handling retakes, including on-site ID printing for first-time photographs for late enrollments, and any associated costs. 4. Digital Picture Files to School: Digital pictures files must be remitted to a School Data Team member within 15 business days of the scheduled date of taking individual portraits. Files must be received in .jpg format and file names should be the Student Number for each child (ex: 400014345.jpg). 5. On-Site ID Printer: Provider will maintain a working ID printer with technical support to be housed in the ZCHS Counseling Office. 6. Packaging, Sorting & Labeling: Portrait packages should be packaged, sorted, and labeled for ease of distribution. B. Sports/Performing Arts Photography: 1. Team and Individual Photos: The provider will coordinate with the athletic department to schedule team picture days that meet the needs of each program. 2. Digital Files: Team and individual digital photo files must be delivered to ZCHS Athletics/Performing Arts. Files should be provided in .jpg format, and each file name must use the student’s ID number (e.g., 400014345.jpg). The school has full rights to use all copyrights and images for official purposes, including yearbooks, social media, digital platforms, promotional materials, and school displays. 3. Packaging, Sorting, & Labeling: All portrait packages must be packaged, sorted, and clearly labeled to ensure ease of distribution. 4. Complimentary Photos: An 8x10 team photo will be provided to the school for display purposes. 5. Banners: o Photographers will be responsible for capturing individual and/or team banner photos in a professional, workmanlike, and efficient manner. o Posing expectations will be communicated in advance, and the photographer will provide guidance during the session to ensure consistent, high-quality results. o An on-site review of images must be conducted immediately following the session, with retakes provided as needed before leaving the venue. o Final banner layouts and proofs must be provided for approval prior to production. o The vendor will provide clear, upfront pricing for both the photography session and the production/printing of senior banners.
