Specifications include, but are not limited to: Vendor is responsible for providing efficient, comprehensive and uninterrupted service on a daily basis. Current staff includes two (2) mailroom clerks. Vendor assumes all legal responsibility as the employer including insurance, worker’s compensation, payment of wages, other compensation due to said persons, and compliance with all federal, state and local tax requirements. As the employer, vendor and staff agree that they will not be covered by the County worker’s compensation or entitled to County benefits. Vendor assumes responsibility for missing or lost merchandise. County vehicle may be utilized; Vendor would assume all liability. It is expected that vendor will provide a consistent, daily staff; however, it is understood that substitutes will be necessary during instances of sickness or vacation. Familiarity with buildings, internal departments, and names is critical for success. Daily mailroom services include, but are not limited to: Pick up incoming mail from local post office (8:30a.m.) Accept, sign for, and record all certified mail, registered mail, overnight mail and packages from courier services such as UPS and FEDEX (currently recording is performed manually, but we are requesting an option for scanning or other electronic capabilities) Sort all incoming mail and packages Distribute all mail and packages to County departments within the Government Center, Administration Bldg, Health Dept. (Buildings A&B), Coroners office, Treasurer’s Bldg, Emergency Telephone System Board, Division of Transportation Bldg, & Valley Hi Nursing Home (8 buildings) Process all outgoing mail, meter letters, packages, etc. The County requires that all mail be picked up, sorted, delivered and outgoing mail metered the SAME day. Mail may be categorized as First Class, Priority, Certified, Certified Return Receipt, letters, flats, parcels cards or bulk mail. USPS picks up outgoing mail each day (between 4:00pm-4:30pm), in accordance with USPS standards. Approximate volume of mail = 1,000 pieces incoming and 1,000 pieces outgoing per day Approximate volume of packages, incoming = 40-60 per day
