The Library seeks to upgrade two existing meeting rooms to enhance accessibility, reliability, and user experience. The selected Contractor shall furnish all labor, supervision, materials, tools, equipment, transportation, and services necessary for complete installation and operational systems as described herein. Please note that manufacturer equivalents may be accepted upon approval 4.1 Small Meeting Room (30’ × 20’) • Functionality: Wired/wireless presentation; BYOD conferencing. • Display: 85” display with pull-out mount. • Audio: (4) recessed ceiling speakers, amplifier, handheld wireless mic, ALS system (4 receivers), DSP. • Conferencing: (2) ceiling microphones; (2) wall-mounted cameras (front and rear). • Controls: Wall keypad for display power, volume, input selection, and camera switching. • Location: All rack-mounted equipment to remain in the existing rack. 4.2 Large Meeting Room (45’ × 22’) • Functionality: Wired/wireless presentation only (no conferencing). • Display: 5300-lumen laser projector (WUXGA). • Audio: (6) ceiling speakers, amplifier, handheld wireless mic, ALS system (4 receivers), DSP. • Controls: Wall keypad for display power, source selection, and volume. • Location: All rack-mounted components installed in the existing rack. 4.3 Installation Standards The Audiovisual Contractor shall: • Employ certified staff (CTS, CTS-I, CTS-D, CAPM, Crestron Certified Programmer). • Provide complete shop drawings, wiring diagrams, and manufacturer data sheets. • Coordinate all installation activities with the Library and any other contractors. • Provide system testing, balancing, and end-user training. • Furnish all incidental materials necessary for a complete and functional installation. • Prior to initiating installation or programming, the awarded contractor shall participate in a coordination meeting with the City’s IT Division and the Library Director to review network integration requirements, cabling pathways, control system programming, and device connectivity. The contractor shall incorporate IT standards and security protocols identified during this meeting into the final system configuration. No system components shall be network-connected until approved by City IT staff.
