1. Installation of all softscaping a. Project Management: Prospective firms shall propose a dynamic and effective process that will meet the objectives listed under the Description of the Project and includes at least bi-weekly progress meetings. b. Advisory Committee: The firm(s) will meet with an Advisory Committee at key decision points throughout the project. Firm(s) will prepare agendas and meeting materials and facilitate meetings. Firm(s) shall plan at a minimum three (3) advisory committee meetings and ensure that a meeting with the committee is scheduled for each stage of the planning process. The Library will establish the advisory committee, arrange meeting venues, and distribute meeting materials. c. Review Existing Documentation:The purpose of this task is to understand the issues of unique concern the Library, and to help all stakeholders develop a common understanding of the context surrounding the Landscape Design Plan. Staff shall provide Consultant with relevant background information in an electronic format, where available. d. Budget Estimates:Develop budget estimates for the recommended priority improvements. e. Deliverables: 1. Project timeline with milestones for the completion of the plan ii. Presentation to theAdvisory Committee iii. Presentation to the Woodstock Library Board of Trustees iv. Technical memorandums which summarize existing conditions and needs assessments 2.
