Northern Illinois University (NIU) requires a software system that consolidates functionality for scheduling conferences, rentals and other activities across all locations. NIU’s main campus in DeKalb, IL includes 64 buildings where activities may take place. NIU operates three satellite campuses, each of which has extensive conference center operations. Activities and events across the main campus are scheduled and managed by independent offices using different systems that limit communication with other offices. All current conference operations on the main campus are being consolidated into a centralized Conference and Event Management office that will provide a single entry point for all NIU conference-related services. This will allow for standardization of policies, practices and customer service levels. A critical element of this effort is the replacement of redundant software applications with a single solution utilized by all for scheduling and managing all facets of events. The new system must improve functionality over the systems currently used and improve communications among staff, event planners and participants. Proposals must address integration with the existing campus ERP and other systems, as well as compliance with campus requirements for security and accessibility of technology. The software must allow for scheduling rooms, inventory, food and beverage services, registrations, abstracts, other services and resources, integrated with contact management, general ledger, budget, billing and sales forecasting functionality. This will reduce staff time through more efficient operations and eliminate the need to support outdated and/or duplicative software applications. The delivered system will lead to greater external customer satisfaction, effective marketing and improved customer relations management. Proposers should be prepared to demonstrate how they will contribute to the overall campus goal of revenue growth through increased volume of external client events and services hosted at all locations
