Specifications include, but are not limited to: I. Maintenance of Doors A. Preventive maintenance of overhead doors shall include inspection of each door listed in this bid, plus any other doors added over the life of the contract, on a quarterly basis. Work shall be performed during normal working hours; 8:00 AM to 5:00 PM, excluding weekends and holidays. Maintenance inspections should be performed during January, April, July and October. Semiannual maintenance on automatic doors will be completed in April and October. Exceptions must have the prior approval of the department representative. B. Upon completion of the maintenance service, contractor shall provide a document to the department to be signed by a Gwinnett County representative which identifies the building, door number inspected, a description of work performed, a list of material used, printed name of service technician, and the time and date performed. Failure to include the information requested could result in payment delay. C. Recommendations for additional service should be noted and mailed to the appropriate department representative within one week of discovery. Additional parts and labor shall not be provided without approval of the department representative. D. The preventive maintenance shown on the attached Preventative Maintenance Checklist shall be performed as a minimum. Labor to perform these preventive maintenance inspections shall be included in the quoted bid price. Any ladders, lifts, or other equipment required to complete the scheduled maintenance inspections shall be provided by the contractor and included in the quoted pricing. Any and all parts are to be charged at the percentage of mark-up as specified in the Bid Schedule. Approval by the authorized department representative shall be required for non-emergency repairs. Repair of Doors A. Types of Services Required: The door systems covered by these services include fully automatic doors with remote sensors and power assist doors activated by a button or by pull on the door. The systems include sliding and swinging doors. The doors are located at the facilities listed herein. The contractor will be called upon to perform services needed when the doors are not operating, not operating properly, or have a condition that is a safety hazard. Services will include responses to standard service requests for repairs and emergency responses critical to day-to-day operations. The contractor shall be responsible for performing directly or under its supervision all services for repairs. B. Standard Service Request Procedures: Department of Support Services The County’s Facilities Management Division typically will request the contractor’s services through an official Service/Repair Request & Authorization form, a sample copy of which is included in these bidding documents. For repairs expected to cost less than $1,000.00, the contractor may verbally contact a designated representative of the Facilities Management Division and provide an estimate for the cost of the proposed work and a schedule for its implementation. Directions to proceed with tasks of this magnitude also may be authorized verbally by the Division’s representative. However, the County will execute, date, and return the Service Request & Authorization Form for the record. For repairs expected to cost more than $1,000.00, the contractor is required to complete the Service/Repair Request & Authorization form including a detailed cost estimate for the work. This estimate shall include labor costs by time and rate, and all costs with mark-ups for equipment, materials and parts. Also indicate the dates on which the work will be implemented.
