3.1. Equipment The College reserves the right to adjust the number of coaches required per trip, provided the requested adjustment for changes are submitted to the Supplier within a reasonable amount of time prior to trip. 3.1.1. Coaches must be no older than a 2015 model 1. OR must have been refurbished within the last 36 months with documentation provided of said refurbishment 3.1.2. Exterior Requirements Clean Free of noticeable body damage (minor damage caused by normal wear and tear is acceptable) Free of any type of advertisements from any other company or school 3.1.3. Interior Requirements Clean Seats – clean and free from soil Floors – clean with no litter or residue Restroom – functional, clean, sanitary and with adequate provisions of toilet tissue, soap, paper towels and fresh water or towelettes Seat mobility – capable of reclining, except for those ahead of the lavatory and extreme rear of the coach Overhead storage/parcel racks available for coats, hats and parcels Working air conditioner throughout cabin Television and DVD Equipment must be functioning with the ability to broadcast visual and audio signal throughout entire cabin Equipment must be able to be seen and heard by all passengers Volume control must be working Wi-Fi connection for passengers Communication device, (e.g., two-way radio system or cellular phone) in order to provide communication and coordination between all motor coaches involved in group movements and to assist in the event of breakdowns or route changes Capacity Seats per coach – no less than 56 satisfactory Equipment and personal luggage (1 bag per passenger) – approximately 4,000 pounds Supplier must ensure the coaches have the capability to safely transport College passengers and equipment for the entirety of each trip. 3.2. Service Requirements 3.2.1. Boarding Trips originating from the College – Football passengers will board and return to Gordon State College, Barnesville GA 30204. Additional GSC travel will determine boarding location upon quote request. Coaches will be open and available for boarding no later than 1 hour prior to the scheduled departure time. Game time is usually 3-3 ½ hours. Motor coaches shall be ready to board 15-30 minutes prior to game end. 3.2.2. Schedule 1. Game schedules can vary and affect all dates/times. The Supplier must have the flexibility to adjust accordingly. The College will notify the Supplier as soon as a date/time change is officially made by the Conference or College. 3.2.3. Baggage and Loading Supplier shall verify that their company personnel will supervise and assist in loading and unloading baggage and equipment. If the Supplier has a reasonable belief that the weights, size and/or character of baggage make it unsuitable for transport, the Supplier has the right to refuse to carry said baggage. The cost of transporting baggage and equipment will be the responsibility of the selected Supplier. No additional fees will be considered. 3.2.4. Refreshments 1. College must be allowed to bring food and non-alcoholic beverages on board coaches. 3.2.5. Travel Routes The Supplier will need to provide the College with an anticipated travel route for approval no later than a week prior to travel. The College will make the final decision on which route to take before beginning a trip.
