Specifications include, but are not limited to: 1. Event Project Management (PM) Services - The Contractor shall include in their Lump Sum Bid Price the associated costs with supplying an Event Project Manager for each Event indicated in Attachment 4 - Schedule of Events. The Project Manager shall be required to be present and available during the entire event for associated installation services that may arise up to and during the event. Activities may include but are not limited to replacing bulbs, relocating design elements, and other event management needs identified by the Botanical Gardens Team. 2. Weekly Progress Meetings - As the Installation progresses, we will require a weekly night walk with assigned staff to confirm the design/installation are going according to plan and no adjustments need to be made. This walkthrough can be adjusted as needed to reflect progress (more often if large amounts of progress are being made vs less often if in a situation where installation is going through more laborintensive areas. 3. Garden Disruption Calendar – At no time can a complete garden area be close to visitor traffic. The garden layout allows for multiple alternate pathways to help prevent this. Awarded Contractor to provide access to a calendar that displays the following events (requires a 2-week minimum notice to the Botanical Garden Team and/or Garden Staff): a. Locations expected to be disrupted during installation, including any issues that will require major disruptions to walkways, or to services the garden provides to the public b. Garden infrastructure issues that require maintenance 4. Total Bid Price - Bid Price shall include all equipment needed in conjunction with installation including, but not limited to lifts, safety barricading for “under construction” areas, and ladders. Bid Price shall also include labor to provide backup connection to generators as noted below Generators and extension cords to be provided by UGA. Lighting hardware to be provided by UGA. 5. Ground Installation Considerations - Ground effects must consider the fact that installation could happen when plants are in summer growth conditions but will be in fall/winter conditions by the time the show starts. Ground effects also must be able to be adjustable to allow foot traffic of visitors to pass when covering walkways. Awarded Contractor is responsible for the layout of the power distribution cable (provided by UGA) from the electrical panels to the proposed light effect areas. 6. Large Structure Installation Considerations - Large structure Items should also be planned for install so that the curator/visitor services staff can work their planting/event schedule in as to allow for minimal disruption of those beds and events. This is primarily key to the installation of the elevator lighting and cone trees (large and small). 7. Potential Theft Items - Any item that may be deemed as a high theft potential (portable Generators) will need to be placed in October as to prevent potential loss
