Specifications include, but are not limited to: Travel Agency to provide customer service for a total of 300-500 students contacting the agency annually. Approximately 20% of the total students will attend a Fall program weekend campus visit called Junior Preview. This program takes place annually between mid-October and mid-November. Approximately 60% of the total students will attend a long weekend campus visit program called Spring Visit. This program takes place annually between mid to late February. The other 20% of the students will attend our 10 week summer program called SURF, Summer Undergraduate Research at Florida. This program takes place annually from late May to early August. Less than 5% of the travel services needed are to support various current graduate students to attend graduate student recruiting conferences between September and April. The interaction with the travel agency will take place approximately 60 days prior to travel. The travel agency must have adequate number of travel agents, online forms/website interface and phone lines to respond to workload. Travel agency will work with students with flight options for coach flights to Gainesville Regional Airport (GNV) in Gainesville, FL. In extreme difficult cases, such as winter weather, cancelled flights, etc. a few other airports may be considered such as Jacksonville (JAX), Orlando (MCO), or Tampa (TPA) airports may be considered. In the event one of those airports is used, the assistance of the Travel Agency may be needed for ground transportation and potential hotel accommodation needs.
