Specifications include, but are not limited to:The City is seeking three (3) services in order to produce and distribute the “Spotlight” newsletter. Vendors must submit RFP’s based on all three services. 1. Layout/Design Services The proposal shall be for a sixteen-page, 4-color newsletter containing printed information, stock photography, and graphics. Design should be eye-catching and have a professional look. Content will be provided by the City of Lauderhill. The selected printer and the City of Lauderhill shall determine a mutually accepted work schedule for newsletter production that includes multiple revisions. Draft previews may be conducted electronically with drafts provided in PDF format. 2. Printing Services The City of Lauderhill requires 32,500 newsletters to be printed on #80 lb gloss paper, 4-color, full bleed. Finish trim size is 8 ½ x 11 inches. Saddle stitch is required. Printer shall provide City with a high resolution PDF proof for City approval prior to printing final versions and also a low resolution PDF proof for City approval prior to printing final versions and also a low resolution PDF file compatible with the City of Lauderhill’s website. 3. Mailing The printing company is responsible for delivering the newsletters in a timely fashion, in accordance with deadlines established by the City of Lauderhill. Newsletters are to be delivered to the main post office branch at 1900 W. Oakland Park Boulevard, Fort Lauderdale, or another site approved by the City. Newsletters must be sorted and the printer is responsible for ensuring that all labeling and bundling services meet United States Postal Services bulk mail requirements. The City will provide a residential address list. The City will be responsible for coordinating the payment of postage expenses and will handle all expenses directly with the Post Office. Excess newsletters shall be delivered to our City Hall location, 5581 West Oakland Park Boulevard, Lauderhill, FL 33313. The printer shall devote responsible and necessary time to perform these functions to ensure accuracy, meet deadlines and produce a quality product under the general direction of the City Manager’s Office.
